Terms and Conditions
Please read these Terms carefully. They contain important information about your legal rights and obligations, including how our training and assessment products handle recordings and assessment data, limitations of liability, and how disputes are resolved.
These Terms of Service (“Terms”) are a legal agreement between Astrix Tech Ltd, registered at Gate Avenue at DIFC, Zone D, Level 1, Offices 208-215, Dubai, AE (“Astrix”, “Company”, “we”, “us”, “our”) and you (“you”, “your”, “User”), governing your access to and use of our website at astrix.ai (the “Site”) and our products and services (the “Services”). By accessing the Site, creating an account, or using the Services, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Site or the Services.

1. Overview
These Terms set out the general terms and conditions of your use of the Site and the Services. We may change or modify these Terms at any time, and changes are effective when posted to the Site. Your continued use of the Site or the Services after changes are posted constitutes your acceptance of the revised Terms. Where changes are material, we will use reasonable efforts to notify you.
2. The Services
Astrix provides AI-powered training and assessment software, currently comprising:
Simulations App: a web application in which users take part in AI-driven voice or video role-play scenarios and are assessed for the purposes of evaluation or personal development, including against custom competency frameworks and using voice and speech analysis tools.
Live Meeting App: a native desktop application that records a user’s real-world meetings and produces assessments comparable to those of the Simulations App, so that results can be compared across simulated and real interactions.
To provide these Services we record and analyse audio and, where enabled, video and screen share, and we generate transcripts, scores and analytics. How we handle that data is described in section 5, section 6 and our Privacy Policy.
3. Eligibility
The Site and Services are available only to users who can form legally binding contracts under applicable law. By using the Site or Services, you represent and warrant that you are at least eighteen (18) years old, are able to form legally binding contracts, and are not barred from receiving the Services under the laws of the UAE or any other applicable jurisdiction.
If you accept these Terms on behalf of an Organisation, you represent and warrant that you have authority to bind that Organisation, in which case “you” refers to that Organisation. If you lack that authority, you accept these Terms in your personal capacity.
4. Accounts and organisations
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. You agree to provide accurate information and to keep it current.
Use through an Organisation. Where your employer, training provider or another organisation (an “Organisation”) makes the Services available to you, your use is also subject to that Organisation’s agreement with us and to its own policies. The Organisation may administer, access, export or delete data associated with your use of the Services, and may configure which features and metrics are enabled. For assessment data processed on the Organisation’s behalf, the Organisation is the data controller and Astrix is the processor, as described in our Privacy Policy.
5. Recording, consent and your data
Your responsibility when recording meetings. The Live Meeting Assessment records meetings, which may capture other participants’ voices and images. Laws in many jurisdictions require that some or all participants be notified of, or consent to, recording. You are solely responsible for (i) knowing and complying with those laws, (ii) informing other participants that the meeting is being recorded and assessed, and (iii) obtaining any consent required before recording. Do not use the Services to record any person or meeting where doing so would be unlawful.
By using the Services, you consent to Astrix recording, storing and analysing the audio, video, screen share, transcripts and derived scores generated through your use, for the purposes described in our Privacy Policy. You may withdraw consent or request deletion as described there and in section 6.
6. Biometric and assessment data
You acknowledge that the Services analyse characteristics of your voice and, where enabled, your face and expression, and that this involves processing of biometric data. Where this processing requires your explicit consent, you will be asked to provide it, and you may withdraw it at any time (which may prevent us from providing some or all of the Services).
You may request access to, correction of, or deletion of your assessment data by emailing security@astrix.ai. Deletion is currently handled manually on request; we action verified requests without undue delay and within the timeframes required by applicable data protection law. Full details of your rights and our data practices are in the Privacy Policy, which forms part of these Terms.
7. Nature of AI assessments
The Services use artificial intelligence and algorithmic models to generate transcripts, scores, expression metrics and analytics. You acknowledge and agree that:
outputs are automated estimates that may be inaccurate, incomplete or biased, and are provided for training, coaching and evaluative purposes only;
outputs are not professional, medical, psychological, clinical, legal or employment advice, and must not be relied upon as such;
outputs should not be the sole basis for any decision that produces legal or similarly significant effects for an individual (such as hiring, promotion, discipline or dismissal); a qualified human should review and make any such decision; and
where an Organisation uses the Services, the Organisation, not Astrix, is responsible for how it uses the results and for complying with laws applicable to that use, including employment, equality and AI-governance laws.
8. Beta services
Any feature we identify as beta, preview or experimental, is provided for evaluation on an “as is” and “as available” basis. Beta Services may be incomplete, may change or be withdrawn at any time, may contain errors, and are not subject to any service-level commitment. We may collect additional diagnostic feedback to improve beta features. You use beta Services at your own discretion and risk.
9. Acceptable use
You agree that your use of the Site and Services will comply with these Terms and all applicable laws, and that you will not:
use the Services to engage in or promote illegal activity, violence, terrorism, exploitation of children, or harassment;
record or upload any person’s voice, image or communications without the consent required by law;
upload content that infringes intellectual property, privacy or confidentiality rights of others;
attempt to identify individuals from, or re-identify, any de-identified data;
introduce viruses, malware or other harmful code, or attempt to disrupt, overload, hack or gain unauthorised access to the Services;
copy, distribute, modify, reverse engineer, or create derivative works from the Site or Services except as permitted by law or by us in writing; or
access the Services other than through the interfaces we provide.
10. Intellectual property
The Site and Services, including all software, source code, models, text, graphics, logos, trademarks and other materials provided by us (“Company Content”), are owned by or licensed to Astrix and are protected by intellectual-property laws. Except for the rights expressly granted to you to use the Services under these Terms, no right or licence is granted. You may not exploit Company Content without our prior written consent.
11. Your content and licence
As between you and Astrix, you (or your Organisation) retain ownership of the recordings, transcripts and other content you generate through the Services (“User Content”). You grant Astrix a worldwide, non-exclusive licence to host, store, process and analyse User Content solely to provide, secure and support the Services and as instructed by your Organisation.
We may use aggregated or de-identified data derived from use of the Services to operate, evaluate and improve them. We do not use your identifiable recordings or biometric data to train general-purpose AI models, and we will not do so without an appropriate lawful basis and, where required, your explicit consent.
12. Fees
Where the Services are provided under a paid plan, applicable fees, billing terms and renewal or cancellation terms are as set out in the relevant order form or plan description. Unless stated otherwise or required by law, fees are non-refundable. We may change fees on reasonable notice, effective at the start of your next billing cycle.
13. Disclaimer of warranties
THE SITE AND SERVICES ARE PROVIDED “AS IS”, “AS AVAILABLE” AND “WITH ALL FAULTS”. TO THE FULLEST EXTENT PERMITTED BY LAW, ASTRIX AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS AND SUPPLIERS DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF TITLE, MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND NON-INFRINGEMENT, AND MAKE NO WARRANTY THAT THE SERVICES OR THEIR OUTPUTS WILL BE ACCURATE, RELIABLE, UNINTERRUPTED OR ERROR-FREE. NO ADVICE OR INFORMATION OBTAINED FROM THE SERVICES CREATES ANY WARRANTY NOT EXPRESSLY STATED HERE.
Nothing in these Terms excludes or limits any liability or right that cannot lawfully be excluded or limited, including certain rights of consumers under mandatory law.
14. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, ASTRIX AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS AND SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE OR EXEMPLARY DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, GOODWILL OR BUSINESS, ARISING OUT OF OR RELATING TO THE SITE, THE SERVICES OR THEIR OUTPUTS, WHETHER BASED ON CONTRACT, TORT OR ANY OTHER THEORY, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICES WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS PAID BY YOU OR YOUR ORGANISATION TO ASTRIX FOR THE SERVICES IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR (B) USD 100.
15. Indemnity
You agree to defend, indemnify and hold harmless Astrix and its officers, directors, employees and agents from any claims, damages, losses and expenses (including reasonable legal fees) arising from (i) your use of the Site or Services; (ii) your violation of these Terms or the Privacy Policy; (iii) your recording of any person or meeting without the consent required by law; or (iv) your violation of any third-party right or applicable law. This section survives termination.
16. Availability and changes
We use commercially reasonable efforts to make the Services available but do not guarantee uninterrupted or error-free operation, and the Services may be unavailable due to maintenance or causes beyond our control. We may modify, suspend or discontinue any part of the Services at any time. Where we discontinue a paid Service, we will offer a comparable service or a pro-rata refund where required.
17. Suspension and termination
We may suspend or terminate your access to the Services if you breach these Terms, if required by law, or to protect the Services or other users. You may stop using the Services at any time. On termination, the rights granted to you cease, and sections that by their nature should survive (including sections 10, 11, 13, 14, 15 and 18) will survive.
18. Governing law and disputes
These Terms, and any dispute or claim arising out of or in connection with them or their subject matter or formation, are governed by the laws applicable in the Dubai International Financial Centre (DIFC), United Arab Emirates, and are subject to the exclusive jurisdiction of the DIFC Courts, except where mandatory law in your country of residence provides otherwise.
Rights of individuals in the EU/EEA and UK. Nothing in this section deprives you of the protection of mandatory consumer or data-protection law in your country of residence. If you are in the EU/EEA or UK, you retain your rights under the GDPR / UK GDPR, including the right to lodge a complaint with your local supervisory authority, as described in our Privacy Policy.
19. General
These Terms, together with the Privacy Policy and any order form, are the entire agreement between you and Astrix regarding the Services. If any provision is held unenforceable, the remaining provisions remain in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition or reorganisation. Headings are for convenience only. Nothing in these Terms confers rights on any third party except as expressly stated.
